Privacy Notice

This Privacy Notice explains how WorkSphere ApS (“WorkSphere”, “we”, “us”) collects and uses personal data in connection with our websites, customer portal and employment-related services.

1. Data controller

WorkSphere ApS is the controller for personal data processed for our own business operations (for example website enquiries, portal account administration and marketing where applicable).

For employment-of-record and payroll services, WorkSphere may act as controller or processor depending on the arrangement. Details are set out in the relevant customer or employment documentation.

2. What we collect

Depending on the Service, we may process:

  • Identity and contact data (name, email, phone, address, nationality)
  • Employment and assignment data (job title, work location, timesheets, documents)
  • Organisation and KYC data (company details, VAT/registration numbers, signatories)
  • Account and security data (login identifiers, MFA factors, audit logs)
  • Communications (emails, messages and support tickets related to engagements)

3. Purposes and legal bases

We process personal data to provide and secure the Services, perform contracts, meet legal obligations (payroll, tax, immigration support), conduct due diligence, and improve our operations. Legal bases include contract, legal obligation, legitimate interests and — where required — consent.

4. Sharing

We may share data with service providers who support hosting, email, e-signature, SMS, registries and similar functions, and with authorities where required by law. We do not sell personal data.

5. International transfers

Where data is transferred outside the EEA, we use appropriate safeguards such as adequacy decisions or standard contractual clauses.

6. Retention

We retain personal data only as long as needed for the purposes above, including statutory retention for employment and accounting records, then delete or anonymise it.

7. Your rights

Subject to applicable law, you may request access, rectification, erasure, restriction, portability or object to certain processing. You may also lodge a complaint with the Danish Data Protection Agency (Datatilsynet) or another competent supervisory authority.

8. Security

We use encryption, access control, monitoring and staff permissions appropriate to the data we handle. Report suspected incidents to contact@worksphere.dk without delay.

9. Changes

We may update this notice from time to time. The effective date above will be revised when material changes are published.
